Registration and Reservation

To register for MOC2017 and make reservation for accommodation, please click ‘Click for Online Registration & Hotel Reservation’ at the button of this page. Onsite Registration will be available during the conference from November 19 to November 22.

Registration Fees

Registration Category Criteria

*To qualify for Student Registration rate, you must be a full-time student in an accredited university. Please submit a copy of valid ID (student card or official letter) to the Conference Secretariat by e-mail within two business days of registration completion. *If you wish to bring any accompanying person, he/she must be your legal spouse or children.

Location: General Research Laboratory Building (An block), in front of the Convention Hall

Date & Time: Evening of November 21 (Tue), after the technical session and microconcert

Financial Support for Overseas Students

Limited financial support is considered for the presentations by students from overseas. Details will be announced on the Website.

Accommodation(operated by Kinki Nippon Tourist)

A block of rooms at neighboring hotels has been secured for the conference attendees. Accommodation can be booked through Online Application. Rooms are limited and are on a first-come first-serve basis.

Rates are available for November 19-November 21, 2017 inclusive, depending on the hotel reserved (very limited rooms are also available for November 18 and 22). Nights outside these dates can be requested but cannot necessarily be guaranteed at the same rate. Deadline of application: 5:00 pm Friday October 20, 2017 (Japan time = GMT+9:00)

*Services included: A room, a breakfast, 8% consumption tax and service charge.
*Services not included: personal expenses (laundry, telephone bill, mini-bar, medical expenses due to injury or illness, travel insurance)

*Please notify MOC2017 Registration Desk (moc2017@or.knt.co.jp) in advance if you expect to arrive at your hotel after 10:00pm to avoid the cancellation of your reservation.
*Deadline for application of accommodation: 5:00 pm Friday October 20, 2017 (Japan time = GMT+9:00)
*Please write smoking or non-smoking room request in “Remarks” on the online application page. Your request will be forwarded to the hotel. However, please kindly understand that smoking /non-smoking rooms might not be provided to you as you requested due to the room vacancy.
*Full payment will be required to complete your reservation.

Payment

All payments of Online Registration must be made in Japanese Yen (JPY) by credit card or by bank transfer afterwards.
For registration fee, credit card payment will be settled on the beginning of November. Bank transfer payment must be received no later than October 27. Cash as well as credit card are available at Onsite Registration.

Confirmation

After the full payment is confirmed, attendees will receive a confirmation e-mail by the middle of November, 2017. Please save this email as proof of your registration.

Change / Cancellation / Refund Policy

[Registration]
Your registration information cannot be changed online after Oct 17, 2017. Any change of registration information after Oct 17, 2017 must be made in email to MOC2017 Registration Desk (moc2017@or.knt.co.jp). For cancellation after submission, it is required to inform MOC2017 Registration Desk by email.

No refunds of the registration fee and conference party charge will be made for any reasons.

[Accommodation]

Until 21 days before the night of stay: No charge

20 to 8 days before the night of stay: 20% of accommodation charge

7 to 2 days before the night of stay: 50% of accommodation charge

1 day before the night of stay: 100% of accommodation charge

On the reserved day or no show without notice: 100% of accommodation charge

The date and time of the change and cancellation will be based on the working hours [Monday through Friday 9:30am ? 5:30pm (Japan time)] except the national holidays (Jul 17, Aug 11, Sep 18, Oct 9, Nov 3). After working hours, cancellation will be made next working day, which may incur charges.

Assistance of visa application

Attendees should check if you are required to apply a visa to enter Japan on the website of Minister of Foreign Affairs of Japan.

If your country is not exempted from visa application on the above website, please kindly state your need of visa support on the online registration form. We will send you the necessary documents for visa application.

Indispensable condition to request the visa support:

*1. You have completed online registration.

*2. Your registration fee has been paid.

3. If you wish to bring any accompanying persons and request the visa support for him/her with yours, he/she must be your legal spouse or children. (if applicable)

*Please note that if any of these requirements is not met, the visa support cannot be accepted.

*Visa applications should be made at least one month before the intended travel dates. We strongly suggest you to inform us your request of visa application as soon as possible.

*For applicants who need to apply for a visa, the payment date of the registration fee will be advanced.

Insurance

Please note that it is the responsibility of all attendees to take out full insurance to cover all expenses, including registration fee, in the event that they are unable to travel for any reason.
